Privacy Policy

This Privacy Policy explains how EI Match (operated by Yanko Holdings, LLC) collects, uses, and protects information from therapists, agencies, and visitors who use our platform. We built this platform to help New York City early intervention therapists, and we take privacy seriously. This policy is written in plain language, not lawyer-speak.

1. What information we collect

From therapists

When you call our matching line or complete a profile, we collect:

  • First name
  • Phone number
  • Discipline (e.g., SLP, OT, ABA)
  • License status and approximate years of experience
  • NYC borough and travel preferences
  • Employment model preference (1099 vs W-2)
  • Caseload size goal
  • Top priority (payment speed, flexibility, or pay rate)
  • Current agency, if any, and what you'd like to change about it
  • Referral code if you were referred by someone
  • The agencies we matched you with and whether you followed up

We do not collect your last name, email address, home address, date of birth, Social Security number, NPI number, or any financial account information at any point in our standard matching process.

From partner agencies

When an agency submits a partner application, we collect:

  • Agency name and website
  • Contact person's name and title
  • Work email and phone number
  • Year founded and approximate therapist count
  • Disciplines hired for, boroughs served, employment model
  • Payment cycle, CF supervision capability, billing model
  • Partnership tier selected and hiring urgency
  • Any notes submitted in the open field

For paid subscription tiers, billing is processed through a third-party payment processor. We do not store credit card numbers or bank account information on our servers.

From website visitors

When you visit eimatch.com, we collect standard web analytics data, including pages visited, time on site, referral source, browser type, and approximate geographic location (city level). This data is aggregated and not linked to any individual's profile.

2. How we collect it

  • Phone calls to (646) 647-1602. Our AI voice agent collects information you share verbally during the call. Calls are recorded and transcribed.
  • Profile form on eimatch.com. Information you type into the online profile form after your call.
  • Partner application form at eimatch.com/partners/. Information agencies submit when applying to partner.
  • Web analytics. Automatically collected when you visit our website. See the Cookies section below.
  • Referral tracking. When someone uses your referral code to call or register, we log that your code was used.

3. How we use it

We use the information we collect for these specific purposes:

  • Generating your agency matches. Your discipline, location, priorities, and experience are used to rank and select the agencies we recommend to you.
  • Sending match results by SMS. Your phone number is used to text you your match results after a call.
  • Administering gift cards and referral bonuses. Your phone number is used to deliver gift card links and to track referral credit.
  • Sending agency match notifications. For Standard and Premium partner agencies, we send match notifications to the contact email and/or phone on file when a therapist is matched to them.
  • Improving the platform. We use aggregated, de-identified data to improve match quality, understand which agencies are in highest demand, and identify gaps in the NYC EI market.
  • Operating and improving Avery. Call transcripts are reviewed to improve Avery's accuracy, conversational quality, and matching logic.
  • Occasional updates. If you've used the platform and given us your phone number, we may send you an occasional SMS about significant changes to the platform (new agencies, major EI news, or updates affecting NYC therapists). You can opt out at any time by replying STOP.

We do not use your information for advertising, behavioral tracking, or sale to data brokers.

4. Who we share it with

We share limited information in these specific situations:

With matched agencies (with your knowledge)

When we match you with an agency, we send that agency a warm introduction. For Free and Standard tier agencies, this includes your first name, discipline, borough, and what you're looking for. For Premium tier agencies, it may include your phone number so they can reach out directly. We tell you during the call which agencies we're sending your information to, and you can opt out of any specific agency.

With service providers

We use third-party services to operate our platform. These providers have access to your information only to perform services on our behalf and are contractually prohibited from using it for other purposes. Current providers include:

  • Telnyx — powers our AI voice agent and phone infrastructure
  • Twilio — SMS delivery for match results and gift card links
  • Tremendous or Giftbit — gift card delivery
  • Cloudflare — website hosting and security
  • HubSpot — CRM for managing therapist and agency contacts
  • Make.com or n8n — workflow automation between the above services

When required by law

We may disclose information if required by a valid subpoena, court order, or other legal process, or if we believe disclosure is necessary to prevent fraud, protect the safety of any person, or comply with applicable law. We will notify you of any such request to the extent permitted by law.

5. What we never share

  • We never sell your personal information to any third party, including data brokers, advertisers, or marketing companies.
  • We never share your information with agencies you haven't been matched with or who aren't listed in our directory.
  • We never share your current agency information with that same agency (i.e., if you tell us you work at TheraCare, we do not tell TheraCare you called us).
  • We never share phone numbers with partner agencies without your explicit consent or expectation (Standard tier matches include name and discipline only; Premium tier includes phone number as disclosed in the matching call).

6. Call recording and AI transcription

All calls to (646) 647-1602 are recorded and transcribed by our AI voice system. This is disclosed at the start of every call by Avery.

Call recordings and transcripts are used to generate your match results, improve Avery's matching logic, and resolve disputes about what was communicated during a call. They are stored for up to 12 months and then deleted.

Under New York Penal Law § 250.00, New York is a one-party consent state for call recording, meaning only one party to a call needs to consent. Avery's disclosure at the start of each call satisfies this requirement and constitutes notice under applicable law. If you are calling from a two-party consent state (such as California, Florida, or Illinois), you consent to recording by remaining on the call after Avery's disclosure.

You may request a copy of your call transcript or deletion of your call recording by emailing hello@eimatch.com within 12 months of the call. Include your phone number and approximate call date.

7. SMS communications

By providing your phone number during a matching call, you consent to receive SMS messages from EI Match including your match results, gift card links, and referral bonus confirmations.

We use standard-rate SMS. Message and data rates from your carrier may apply.

To opt out of all SMS from EI Match, reply STOP to any message we send. You can also email hello@eimatch.com to be removed from SMS communications. Opting out of SMS does not delete your profile; it only stops future messages.

EI Match does not share phone numbers with third parties for their own marketing purposes. SMS messages are sent only through our listed service providers (currently Twilio) acting on our behalf.

Our SMS communications are compliant with the Telephone Consumer Protection Act (TCPA) and applicable NY state law. We do not use autodialed or prerecorded messages for outbound marketing calls.

8. Cookies and analytics

eimatch.com uses minimal cookies. Specifically:

  • Cloudflare security cookies. Required for website security and performance. These cannot be disabled without affecting site functionality.
  • Analytics. We use privacy-focused analytics to understand how people use the site (pages visited, traffic sources, time on site). We do not use Google Analytics. Any analytics we use are configured to not store personally identifiable information and to honor Do Not Track browser settings.
  • No advertising cookies. We do not use cookies for advertising, retargeting, or behavioral tracking.

You can disable cookies in your browser settings. Disabling Cloudflare's cookies may affect site performance but will not prevent you from accessing content.

10. Your rights under NYC and NY law

New York residents have specific rights regarding their personal information. As an NYC-based platform, we honor these rights fully.

Right to know

You have the right to know what personal information we hold about you. Email hello@eimatch.com with "Data request" in the subject line. We will respond within 30 days with a summary of what we hold.

Right to correct

If any information we hold about you is inaccurate, you have the right to request correction. Email us with the specific information you'd like corrected and what the correct information should be.

Right to delete

You have the right to request deletion of your profile and personal information. Email hello@eimatch.com with "Delete my profile" in the subject line. We will delete your information within 30 days, except for records we are required to retain by law (such as gift card tax records for 7 years).

Right to opt out of sharing

You may request that we not share your information with matched agencies. If you make this request, we will still run your match and share your results with you privately, but we will not send your information to any agency without a subsequent explicit opt-in from you.

NYC-specific protections

Under the NYC Human Rights Law, you have the right to be free from discriminatory treatment in any service we provide. If you believe you have been discriminated against in how EI Match has treated your data or matching results, you may file a complaint with the NYC Commission on Human Rights at nyc.gov/cchr or call 311.

New York State does not currently have a comprehensive consumer privacy law equivalent to the California Consumer Privacy Act (CCPA). However, we voluntarily provide CCPA-equivalent rights (access, correction, deletion, and opt-out) to all users regardless of location.

How to exercise your rights

To exercise any of the above rights, email hello@eimatch.com. We do not charge a fee for privacy requests and will not penalize you for making them. We will respond within 30 days. If we need more time, we will notify you within the initial 30-day period.

11. Children's privacy

EI Match is a professional platform for licensed or credentialed healthcare providers and early intervention agencies. We do not knowingly collect personal information from anyone under 18 years of age. If we learn that we have collected information from someone under 18, we will delete it promptly.

Note: while EI Match works in the early intervention space (which serves children ages 0–3), our platform collects information about therapists and agencies only, not about any child receiving services.

12. Security

We take reasonable technical and organizational measures to protect the information we hold. These include:

  • HTTPS encryption for all data in transit on eimatch.com
  • Cloudflare DDoS protection and Web Application Firewall
  • Access controls limiting who within our team can access personal data
  • Regular review of third-party service provider security practices

No security measure is perfect. In the event of a data breach affecting your personal information, we will notify affected users within 72 hours of discovering the breach, consistent with New York State's SHIELD Act (NY General Business Law § 899-aa) and applicable federal law.

Our platform does not store highly sensitive information such as Social Security numbers, financial account details, or clinical records, which limits the potential impact of any security incident.

13. Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date at the top of this page and, if the changes significantly affect how we handle your data, send an SMS notice to users with active profiles.

Continued use of the platform after a policy update constitutes acceptance of the updated terms. If you do not agree with any changes, you may request deletion of your profile as described in Section 10.

If you have a complaint that we have not resolved to your satisfaction, you may also contact the New York State Attorney General's office at ag.ny.gov or the NYC Department of Consumer and Worker Protection at nyc.gov/dcwp.
